RPA Project Coordinator/Project Manager


Ft. Worth, TX


This position is responsible for planning, managing, tracking and reporting the activities associated with the Robotics Process Automation (RPA) project. The Project Coordinator will monitor and manage project status, schedule, budget, scope, quality, issues, risks and dependencies. The position will partner with several stakeholders across the client organization, including Technology Services, Business groups, Corporate Audit, Security and Compliance to ensure company is adhering to risk controls, security and compliance procedures which are detailed in the RPA Center of Excellence (COE). The project coordinator will be responsible for coordinating activities, agenda items and follow ups that are brought to the COE and ensuring that proper documents are updated based on agreed upon timelines.


The Project Coordinator will work closely with the RPA Business Analyst to ensure the identified opportunities are tracked and prioritized as candidates for automation. The Project Coordinator will work with the RPA Developer and RPA Architect to ensure workload, robots going to production and capacity is understood and any issues are mitigated. The Project Coordinator will be responsible for ensuring all key metrics for RPA are tracked and reported accurately to leadership, including opportunities, development, production and other key areas identified by the COE.


The Project Coordinator must understand project management processes and execution. This role is one that requires teamwork, business acumen, strong relationship management and communication skills, with both IT and Business areas, and ability to address management at various levels. The Project Coordinator should embrace the client Leadership Model and actively demonstrate commitment to the model.


Essential Functions

  • Support Project team by scheduling meetings and providing other logistical support needed for meetings (e.g. Meeting space, A/V setup, supplies, food etc.)
  • Build out COE project plan for new COE standards/procedures
  • Manage key metrics associated with RPA program
  • Provide Program summaries key stakeholders on a weekly basis
  • Manage vendor relationships; manage all onsite logistics
  • Manage COE meetings, agenda, notes, decks
  • Capture & publish meeting notes including any risks, action items, issues, or decisions
  • Provide status reporting on RPA program status to various stakeholders
  • Work with Project team to ensure activities are completed as scheduled
  • Support Project team as needed with budget creation, tracking and reporting
  • Manage and Support Project team in tracking key project metrics
  • Provide on boarding support for new contractors or employees
  • Manage project SharePoint site administration, document version control and tracking reviews/approvals


Desired Skills and Experience


  • 5+ years in managing projects
  • CAPM (Certified Associate in Project Management) ® Certification or PMP (Project
  • Bachelor’s degree or higher from an accredited college/university
  • 3+ years of Information Technology experience that involved business process change, organizational change, and medium to large scale technology deployments
  • Experience in business and solution development, project management, and project delivery
  • Strong understanding of the system development life cycle
  • Ability to interact effectively with various levels within the organization
  • Experience working with vendors/partners to deliver projects
  • Experience developing complex, project plans to meet business objectives
  • Experience developing and managing large project budgets
  • Proven experience in project change management
  • Excellent communication and presentation skills
  • Proficient in Microsoft Project, Visio and Office Suite (Word, Excel, PowerPoint), and SharePoint


Preferred Education, Experience, Skills

  • Certified Scrum Master (CSM) or Professional Scrum Master (PSM)
  • Experience with Planview
  • Experience with VersionOne, Rally SW(now CA Agile Central), JIRA
